PRIMARY PURPOSE OF POSITION:

This position is responsible for the timely and accurate processing of payroll and maintaining payroll records; timely and accurate processing and payment of Accounts Payable and maintaining AP records; timely and accurate processing of General Ledger journal entries and Balance Sheet account reconciliations; Assist in month end close process

MAJOR DUTIES OF POSITION:

  1. Process biweekly payroll and maintain all payroll records
  2. Prepare periodic reports of earnings, taxes and deductions
  3. Keep record of leave pay (sick, vacations, disability)
  4. Prepare and transmits 401K spreadsheets
  5. Prepare and uploads 125K spreadsheets
  6. Record all time off requests into PR system and Outlook and verifying against actual time off
  7. Process W-2s for employees
  8. Complete EDD, housing, disability information request forms
  9. Process Accounts Receivable cash receipts in Syteline
  10. Reconcile Operating, MM, and PR bank accounts and make cash journal entries weekly
  11. Prepare and process payroll journal entries as well as monthly payroll accrual journal entry
  12. Book month end journal entries and assist in reconciling Balance Sheet accounts such as Prepaids, Fixed Asset and Accrued Liability
  13. Compile all receipts for Corporate AMEX and VISA bill and process payment
  14. Maintain the petty cash fund
  15. Set up Vendors in Syteline
  16. Process and pay Accounts Payable
  17. Process 1099s for vendors
  18. Match 2-way POs in Syteline
  19. Assist in sales tax administration, accrual and filing
  20. Provide clerical and administrative support to management as requested

KNOWLEDGE AND SKILL REQUIREMENTS:

  1. Associate degree (A. A.) or equivalent from two-year College or technical school; or two-year related experience and/or training; or equivalent combination of education and experience.
  2. Must be detail oriented and able to multi-task
  3. Knowledge of accounting and bookkeeping principles
  4. Ability to identify errors and solve problems
  5. Strong time manager with respect for deadlines
  6. Possess solid computer skills

Must be proficient in:

  1. Excel – create and work with spreadsheets using pivot tables and formulas
  2. Word – create and format professional correspondence
  3. Outlook – email & maintain company calendars
  4. Database software
  5. Knowledge of Internet software
  6. Payroll systems; ADP a plus
  7. ERP Accounting/Manufacturing software desirable

 

  1. Excellent and effective verbal and written communication skills
  2. Must be dependable and flexible
  3. Knowledge of GMP (Good Manufacturing Practices) is desirable
